Asset Management: Overview and Customization

The Asset Management page is your central hub for monitoring the health and status of every vehicle and trailer in your fleet. At a glance, you can see which assets need attention, track open maintenance items, and drill into individual asset details — all from one place.

To access Asset Management, select it from the left-hand navigation menu.

Switching Between Vehicles, Trailers, and Other

At the top of the page, you'll see two tabs:

  • Vehicles

  • Trailers

  • Reefers

  • Other

Each tab shows a count of how many assets are in that category. Click either tab to switch your view — all widgets and the asset table below will update to reflect only that asset type.

You can also use the Select Fleet drop-down at the top to filter the view by a specific fleet if your organization manages multiple.

Dashboard Widgets

The top section of the Asset Management page displays a set of widgets that give you a real-time snapshot of your fleet's health. Each widget has a Filters? link in the top right — clicking it lets you narrow down what's shown based on specific criteria.

Vehicle Status

This widget shows how your assets are distributed across four operational states:

  • Running | Assets actively in service with no blocking issues

  • Open Work Order | Assets with an open work order in progress

  • Repair in Progress | Assets currently being repaired and out of service

  • Other - Blocked | Assets that are blocked for another reason (e.g., awaiting parts, out of service)

Each status is shown as a percentage and a unit count. Clicking on any status will filter your asset table to show only assets in that state, making it easy to act on what you're seeing.

If your Repair in Progress or Other - Blocked numbers are climbing, that's a signal to investigate bottlenecks in your shop or maintenance workflow. You can also customize vehicle statuses across the parent fleet to better fit your fleet’s operations.

Assets with Issues

This widget breaks down how many assets have at least one open issue, categorized by severity:

  • 🔴 Critical | Requires immediate attention

  • 🟠 Major | Significant issue that should be addressed soon

  • 🟡 Minor | Lower-priority issue to monitor

Important | An asset is counted once per severity level. If a single asset has two Critical issues and one Major issue, it counts as one under Critical and one under Major — not three.

Focus on your Critical count first. Any non-zero Critical number means assets are on the road with issues that need immediate action. Click the number to see which assets are affected.

Assets with Engine Lights

This widget shows how many assets currently have an active engine light on, broken down by type:

  • Check Engine | General engine fault detected

  • Mil Lamp | Malfunction Indicator Lamp is on

  • Protect Lamp | Engine protection system has triggered

  • Stop Lamp | Severe fault; asset should be taken out of service immediately

Important | Like Issues, an asset is counted once per light type. If an asset has both a Stop Lamp and a Mil Lamp active, it counts under each category separately.

Stop Lamp alerts are urgent — any asset showing a Stop Lamp should be pulled from service until inspected. Use this widget as an early warning system before issues escalate into breakdowns.

PMs (Preventive Maintenance)

This widget tracks the status of scheduled preventive maintenance across your fleet:

  • Overdue | PMs that have passed their due date and haven't been completed

  • Due Soon | PMs that are coming up and should be scheduled

Keeping your Overdue count at zero is the goal. An overdue PM is a compliance and reliability risk. Use the Due Soon count to plan ahead and avoid backlog.

DOT Inspections

Similar to PMs, this widget tracks the status of required DOT inspections:

  • Overdue | Inspections that are past due

  • Due Soon | Inspections coming up on the schedule

DOT compliance is non-negotiable. If you see overdue inspections, those assets may not be legally roadworthy. Address these immediately.

DVIR (Driver Vehicle Inspection Reports)

This widget summarizes defects reported through driver inspections:

  • Unsafe Assets w/ Defects | Assets with defects that have been flagged as unsafe

  • Safe Assets w/ Defects | Assets with defects present but currently deemed safe to operate

  • Total Unsafe Defects | Total count of unsafe defects across all assets

  • Total Safe Defects | Total count of safe defects across all assets

Important | Defects are counted within assets. If 5 assets have a combined 20 unsafe defects, those 20 defects are distributed among those 5 assets.

Any number in Unsafe Assets w/ Defects should be treated as high priority. These are assets your drivers have flagged as not safe — they should be reviewed and resolved before the asset goes back on the road.

Asset Table

Below the widgets, the Asset Table gives you a detailed row-by-row view of every asset in your fleet. Each row represents one asset and includes the following columns by default:

Asset ID

The unique identifier for the asset, with a link to its full detail page

Meter

Current odometer (miles) and engine hours

Status

Current operational status (Running, Open Work Order, etc.)

Sub-location

The specific location or yard the asset is assigned to

Latest Work Order

The most recent work order associated with the asset

Engine Light

Any active engine lights on the asset

Issues

Open issues by severity (Critical, Major, Minor)

DOT Inspections

Status of the asset's DOT inspection

Latest DVIR

Most recent driver inspection result and any defects

Next PM

When the next preventive maintenance is due

Notes

A free-text field to log vehicle condition, driver feedback, or anything relevant

Health Report

A quick summary of the asset's overall health

Customizing Your Table

You can personalize the Asset Table to show only the columns that matter most to you:

  1. Click the Customize Table button (top right of the table).

  2. Toggle columns on or off to match your workflow.

  3. You can also add custom columns — these are free-text input fields you define, perfect for tracking information unique to your operation (e.g., driver assignments, insurance info, internal notes).

If you're running a daily fleet check, consider hiding columns you don't need and surfacing the ones you check every day. Custom columns are great for capturing information that doesn't fit anywhere else in the system.

Helpful Tips

  • Start your day here. The widgets give you an instant read on your fleet's health before you dig into anything else.

  • Use the Filters. Every widget has a Filters option — use them to slice the data by asset type, location, or date range.

  • Click into the numbers. Any count in a widget is clickable and will filter the asset table to show exactly which assets are affected.

  • Keep your Notes column updated. It's a simple field but invaluable for keeping your team aligned on asset-specific context.
