Vehicle Statuses is a feature in Pitstop, a third-party fleet management platform. The following applies to the Pitstop platform only, not Fullbay.
Vehicle statuses in Pitstop allow you to define exactly what operational state each asset is in at any given time. Rather than being limited to a fixed set of system defaults, you can create and customize statuses that reflect how your specific fleet actually operates — whether that's Awaiting Parts, Out for Inspection, At Vendor, or anything else that matters to your team.
Statuses appear in two places on Pitstop's Asset Management page: Pitstop's Vehicle Status widget at the top of the dashboard, which gives you a fleet-wide count by status at a glance, and the Status column in the asset table, where you can view and update the status for any individual asset.
Who Can Manage Statuses?
Only users with Fleet Manager permissions can create, edit, or delete vehicle statuses. If you don't see the option to edit statuses, your account role may not include this permission — contact your administrator to request access.
Accessing the Status Configuration Screen
You don't need to navigate to a separate settings area to manage statuses — the configuration is accessible directly from Pitstop's Asset Management table. This configuration is completed within Pitstop, not Fullbay. Log into your Pitstop account to access the Asset Management page, then use the steps below to view, create, edit, and delete statuses.
Navigate to Asset Management from the left-hand navigation menu.
Locate any asset in the asset table.
Click the Status drop-down for that asset.
At the bottom of the dropdown, click Edit Statuses.
This opens the status configuration screen where you can view, create, edit, and delete all vehicle statuses for your organization.
Creating a New Status
From the status configuration screen, you can add as many custom statuses as your operation requires — there is no limit.
When creating a status, you can configure the following:
Status Name | What the status is called. Use clear, specific language your whole team will understand (e.g., At Vendor - Awaiting Parts rather than just Vendor).
Customization Options | Statuses can be visually adjusted so they're easy to distinguish at a glance in the asset table and dashboard widget.
Vendor Information | If a status is tied to an external vendor (such as a repair shop or inspection facility), vendor details can be associated directly with the status for quick reference.
Editing and Deleting Statuses
Existing statuses can be updated at any time from the same configuration screen. Changes take effect immediately across all assets using that status.
If a status is no longer relevant to your operation, it can be deleted. Before deleting, make sure no assets are currently assigned to that status — reassign them first to avoid any gaps in your records.
Manually Updating an Asset's Status
Any user with the appropriate permissions can update an individual asset's status directly from the asset table — no need to open the full asset file.
Find the asset in the Asset Management table.
Click the Status drop-down in that asset's row.
Select the appropriate status from the list.
The change takes effect immediately and is reflected in both the asset table and Pitstop's Vehicle Status widget at the top of the dashboard.
Automatic Status Updates via DVIR
If your organization uses a telematics system that supports Driver Vehicle Inspection Reports (DVIRs), Pitstop can automatically update an asset's status based on DVIR outcomes — no manual intervention required.
Example | If a driver submits a DVIR flagging a defect, the system can trigger a status change (such as moving the asset to an Out of Service or Awaiting Inspection status) automatically, so your fleet's status data stays current without relying on someone to update it manually.
Important | Automatic DVIR-triggered status updates require the correct telematics integration to be configured and your organization to be actively using DVIRs through that integration. If you're unsure whether this is set up for your account, reach out to your Pitstop representative.
Helpful Tips
Be specific with status names | Vague statuses like Other or Misc create confusion over time. The more specific your status names, the more useful your Vehicle Status widget becomes as a daily management tool.
Use vendor information fields | If assets frequently go to specific shops or inspection facilities, attaching vendor info to those statuses saves your team time when they need to follow up.
Keep your status list lean | It's tempting to create a status for every scenario, but a shorter, well-defined list is easier for your team to use consistently. Start with the statuses you need today and add more as genuine gaps emerge.
Leverage DVIR automation where possible | Manual status updates are easy to forget during a busy day. If your telematics supports it, automating status changes through DVIRs keeps your data accurate without adding to your team's workload.
