Archiving an asset removes it from your active fleet list and disables it for tracking and maintenance scheduling within Pitstop. This is the right move for assets that are no longer in service — retired vehicles, sold equipment, or anything you no longer want appearing in your active fleet.
Archiving is not permanent. You can view and restore any archived asset at any time from the Archived Assets page.
Before You Archive
There are a few important things to know before archiving an asset:
Shared assets across subfleets | If the asset exists across multiple subfleets, archiving it will apply to all subfleets, not just the one you're currently viewing.
Telematics devices | If a telematics device is still installed on the asset, data will continue to be collected — it just won't be visible in your active fleet. Remove the device if you want data collection to stop entirely.
It's reversible | Archived assets can be restored to all subfleets at any time from the Archived Assets page.
How to Archive an Asset
From the left-hand navigation menu, select Asset Management.
In the asset table, check the checkbox to the left of each asset you want to archive. You can select one asset or multiple at the same time.
Once at least one asset is selected, a row of action buttons will appear above the table, including the Archive Assets button.
Click the Archive Assets button. A confirmation modal will appear summarizing what archiving will do and asking you to confirm.
Add a Note (optional). The confirmation modal includes an optional Notes field. Use this to log the reason you're archiving the asset
Log reason examples:
"Asset sold on [date]"
"Vehicle totaled — insurance claim filed"
"Retired from service — exceeded mileage threshold"
This note becomes part of the asset's record and is helpful for future reference.
Click Archive Asset(s) to complete the process. The asset will be immediately removed from your active fleet list. To cancel without archiving, click Cancel.
After Archiving
The asset will no longer appear in your active Asset Management table. To find it or restore it:
Navigate to the Archived Assets page from the left-hand navigation menu.
Locate the asset and select it.
Choose to restore it — it will be returned to your active fleet across all subfleets.
Helpful Tips
Will archiving an asset delete its history? | No. All work orders, service records, inspection forms, and documents tied to the asset are preserved. Archiving only removes it from your active fleet view.
Can I archive multiple assets at once? | Yes — select as many checkboxes as you need before clicking Archive Assets. They'll all be archived in a single action.
What if I archived an asset by mistake? | Head to the Archived Assets page and restore it. The process takes just a few clicks and returns it to your active fleet immediately.
