Review and Approve a Work Order Estimate

Learn how to review a repair estimate in the Fullbay Customer Portal and approve or deny each line of work to tell your shop exactly what to do.

When your shop finishes an estimate and requests your authorization, you receive a notification with a link to the Fullbay Customer Portal. Reviewing and responding quickly keeps your unit moving and gets it back on the road sooner. You can approve or deny individual lines of work or respond to every line at once. This article shows you where to find an estimate and how to respond.

How Estimate Approvals Work

Your shop builds the estimate and requests your authorization. You receive a notification with a link to the portal, and the work order appears under Repair Center on the Needs Approval tab. There you can review each line of work, along with its parts and fees, and decide what to approve. When you submit your response, it goes directly to your shop.

Review and Approve an Estimate

Responding takes just a few minutes and puts you in control of the work and the cost. Follow the steps below to review and approve an estimate.

  1. Select Repair Center, then open the Needs Approval tab.

  2. Select Authorize or Decline for each labor line based on the work you want completed. To respond to every line at once, select Authorize All or Decline All.

  3. Approve or deny each labor line based on the work you want done.

  4. Select Send Response to send your response to the shop.

After you submit, the portal shows a confirmation, and your shop receives your response. They start the approved work, and any denied lines are left off the job.

Example | A fleet manager reviews an estimate for a delivery truck. She approves the brake replacement she knew was coming, denies an optional cabin air filter, and submits. Her shop gets the response right away and starts the brake work that afternoon, with no phone call needed.

Helpful Tips

  • Can I approve some of the work but not all of it? | Yes. Select Authorize or Decline for each labor line, then submit your response. Your shop only performs the lines you authorize.

  • What happens after I submit my response? | Your shop receives your approvals and denials and starts the approved work. Denied lines are not performed.

  • I don't see any estimates to review. Why? | An estimate appears after your shop requests your authorization. If you’re expecting one, select Contact Shop in the Shop Information section to confirm it was sent.

  • Where do I see the price before I approve? | The estimate lists labor, parts, and fees, letting you see the cost before you decide.

  • Can I change my answer after I submit? | Select Contact Shop in the Shop Information section. Your shop can update the estimate or send it again for your approval.
